Viewing - General Remarks

 
In the current version, anyone with access to Halo should be able to access the Viewing mode. If a user has been granted access to the document (coming from Halo Reports), it should be possible to open that document in the Viewing mode even if the user does not have Reports access rights.
If a report contains information coming from specific datasets (rather than e.g., plain text only), it is still required that the user has access rights to the data used in the report. Otherwise, the report can be opened, but the components that use unavailable data will not show this data.
 
It is important to remember that users with whom the report is shared will get access to the LAST SAVED state of the report. It is advised to ensure that any required changes to the report are saved by the report author before the report is shared with other users.
In regard to that, it is also important to understand that the Viewing mode always opens a temporary copy of the report, which is then persistent for the whole user session. This means that if someone has the report open in the Viewing mode and at the same time the author saves a new version of the underlying report, the Viewing mode active session will still work on the previous version unless the report is reopened or reloaded.
 
Users that only have a Viewer role on Halo will only be able to access any documents shared with them via the Viewing mode. In the current version, Authors (users with access to Halo Reports/Query) or Storybuilders can switch to authoring or storybuilding mode in the reports to which they have editing access and overwrite or make a copy of such a report. Users with only view access to the document will not be able to overwrite the document but will be able to make a copy, but only if they have authoring capabilities. In such a case, it will also be possible for them to switch to Authoring mode and see the underlying Query and Page definitions. Merging the view-only reports with other reports will also be possible in this scenario. View-only access, which results in a lack of overwriting possibilities, is indicated by the dedicated icon next to the report title.
